Introduction

Learn the basics of using your Polycom DECT 230 phone. The following topics will help you with common questions related to using your Polycom phone.

Buttons and Indicators

Navigation Arrows

Pressing left or right enables you to scroll through the options and lists on display up or down.

To select an item:

  1. Press the OK button in the center of the four-way Navigation Arrows.
  2. To cancel or back up to a previous screen, press the Back softkey.

The navigation arrows also function as a fast way to navigate to many functions, such as placed calls, received calls, and directory contacts.


3.

Softkeys

The softkeys perform the functions that appear directly above them on display. Their functions are context-sensitive, meaning the functions of the softkeys change depending on your current activity.

To see a list of available settings and options:

  1. Select the OK key.
  2. Scroll through the options with the navigation keys and select Preferences.

You can configure your language, time & date and update your phone’s display and sound settings.

Feature Keys

The most commonly used feature keys are:

  • Mute Key
  • Redial Key
  • Speakerphone Key
  • Volume Control

Adjust the Volume

You can increase or decrease the volume of the ring tone and call audio on your wireless handset.

To increase or decrease the volume:
  1. Press the Upward Arrow or the Downward Arrow Key to adjust the ringtone and listening volume.

You can switch between listening to the audio on the Speakerphone and the earpiece during the call.

To activate the speakerphone:

  1. During a call, press the Speakerphone button.

You can or unmute the microphone during an active call.

To mute the microphone:

  1. Press the Mute button to mute or unmute the microphone during a call.

Placing Calls

To place a call:

  1. Dial the valid 10-digit number, and press the Talk button.

To place a call while on an active call:

  1. Press the New Call softkey.
  2. Enter the valid 10-digit numbers. When complete, press the Talk button.
    The first call is placed on hold.

Receiving Calls

To answer a call:

  1. Press the Talk button.

To answer an incoming call while already on an active call:

  1. Press the Talk button. The first call is automatically placed on hold.
  2. To retrieve the first call, either press the Swap softkey or use the Navigation Arrows to scroll back to the first call.

Placing Calls on Hold and Resuming Calls from Hold

To put an active call on hold:

  1. Press the Options softkey.
  2. select the HOLD option, and tap the OK softkey.

To resume the call:

  1. Press Options and select the Resume option.

Performing a Blind Transfer

A Blind (or unannounced) Transfer takes place when you transfer a call to someone else without announcing the call first.

To conduct a blind transfer while on an active call:

  1. Press Options.
  2. Proceed to select Blind Transfer.
  3. Input either an extension or valid 10-digit number.
  4. Press Transfer. The call is now transferred.


10.

Performing a Consulted Transfer

A Consulted (or announced) Transfer is performed when you announce the call to the recipient before transferring the call.

To conduct a Consulted Transfer, while on an active call:

  1. Press Options. Then select Transfer.
  2. Input either an extension or valid 10-digit number.
  3. Press the Call button. Once the party answers, announce the call and press Transfer again.

Performing a Direct-to-Voicemail Transfer

A Direct-to-Voicemail Transfer is performed when you wish to transfer a call directly to another User’s Voicemail.

To conduct a Direct-to-Voicemail Transfer to another user within the group while on an active call:

  1. Press Options. Then select Transfer. The caller is automatically placed on hold.
  2. Enter Star (*) 55, followed by the user’s extension, then press the Transfer button again.

To transfer a call to a user in a different group:

  1. Dial Star (*) 55, the group ID, then extension.
    (e.g. *55-1-1793 where 1 is the group ID.)

Initiating Three-Way Conference Calls

To initiate a Three-Way Conference Call:

  1. Press the New Call soft key while on an active call.
  2. Enter the valid extension or 10-digit number, and press the Call button.
  3. Once the party answers, press Options, then locate and press OK on the conference option.
    The two calls are now connected.


13.

Do Not Disturb

The Do Not Disturb Feature is used to send all incoming calls to Voicemail.

To enable Do Not Disturb:

  1. Press Menu
  2. Select Do Not Disturb (DND). Your phone is now in DND mode.

Note: Once Do Not Disturb is enabled, calls cannot be received until you disable the feature. To disable this feature, repeat the previous steps.


14.

Enabling and Disabling Call Forwarding

By default, calls that are not answered will go to voicemail.

To forward calls to a destination other than voicemail, enable call forwarding or change your voice portal busy and no answer settings.

To enable this feature:

  1. Press Menu.
  2. Proceed to select Call Forwarding.
  3. Select the line that you want to set forwarding on and select the forwarding option you would like to enable. Options include:
    • Always, which forwards all incoming calls to a specified forward-to destination.
    • No Answer, which forwards calls when the Do Not Disturb feature is enabled, or if you do not answer, and
    • Busy, which only forwards calls if your line is busy.

Press the check box to enable the feature.

Note: When configuring no answer forwarding, you must also select the number of seconds before the call is forwarded.

To configure:

  1. Select Call Forward, then No Answer.
  2. Switch the service to Enabled and enter the number to which to forward calls.
  3. Select the number of seconds it would take to forward calls. You can choose from 0 – 120 seconds.
  4. Select the Save softkey when you are done.

To disable call forwarding:

  1. Set the forwarding service to Disabled.
  2. Uncheck the box to disable.


15.

Parking Calls

You can park the current call and retrieve it on another wireless handset by entering the dedicated retrieval code.

This feature is only available for lines registered with the service that supports call park.

To park a call:

  1. During the call, press Options > Call Park.
  2. Enter the extension where you want to park the call. For example, enter 6889.

Retrieve Parked Calls

You can retrieve a parked call from any phone or wireless handset on the network.

To retrieve a parked call:

  1. Enter the retrieval code, then the extension where you parked the call followed by a pound sign (#). For example, enter *88 then enter 6889#.
  2. Press the Call button.

Adding New Contacts

To add a new contact:

  1. Press Menu.
  2. Select Directories and then select Add New Contact.
  3. Proceed to fill out the necessary information, using the navigation arrow to move between fields.
  4. When complete, press Save. The contact is now saved.

Note: Contacts added directly on the phone will be erased if software updates. To ensure updates remain, it is best practice to add/change contacts via your ProConnect customer portal.


18.

Setting Up Voicemail

To set up your Voicemail for the first time:

  1. Press Menu, then select Messages.
  2. Proceed to select Message Center.

You can also access your voicemail by dialing your extension and following the prompts.

  1. Enter your default password, followed by the Pound (#) key.
  2. The system will ask you to enter your new passcode. Enter your new passcode followed by the Pound (#) key, then confirm your new passcode once again followed by the Pound (#) key.


19.

Accessing Call History

You can use the navigation keys to review your call history.

To see recently placed and received calls:

  1. Press the Right Arrow button.

To see the Directory menu:

  1. Press the Left Arrow button.

To dial a number:

  1. Scroll to the desired number and press the Talk button.


20.

Accessing Voicemail

To check your Voicemail:

  1. Dial your extension.

You can also press Menu, then select Messages.

  1. Proceed to select Message Center to access your current messages.
  2. When prompted, enter your voicemail passcode followed by the Pound (#) key. Follow the audio prompts to retrieve your voicemail messages.

If you forget your voicemail passcode, please contact your System Administrator to have it reset.
