The basic features of the Poly Rove B40 include:

In the following sections we go over some key features and functions in more detail.


Navigation Arrows

The Navigation Arrows allow you to scroll through various options and lists on display to make selections. To select an item, press the OK button in the center of the four-way Navigation Arrows. Press the Back softkey to cancel or back up to a previous screen. These keys also function as a fast way to navigate to many functions, such as placed calls, received calls, and Directory Contacts.


Softkeys

The Softkeys are context-sensitive keys that perform the functions appearing directly above them on display. Their functions change depending upon your current activity. For example, if you are Conferencing, the Softkeys display functions related to the Conference function. You can also see a list of available settings and options by selecting the OK Key. Scroll through the options with the Navigation Keys and select Preferences. Here, you can configure your language, Time & Date and update your phone’s Display and Sound settings.


Placing Calls

To place a call, dial the valid 10-digit number, and press the Talk button.

Press the New Call softkey to place a new call while on an active call. Proceed to enter the valid 10-digit numbers. When complete, press the Talk button. The first call will be placed on hold.


Receiving Calls

To answer a call, press the Talk button.

Press the Talk button to answer an incoming call when you’re already on an active call. The first call is automatically placed on hold. To retrieve the first call, either press the Swap softkey or use the Navigation Arrows to scroll back to the first call.


Placing Calls on Hold & Resuming Calls from Hold

To put an active call on hold, press  the center softkey. This will place the call on hold or retrieve a call from hold. Alternatively, press the Options softkey, select the HOLD option, and tap the OK softkey. To resume the call, press Options and select the Resume option.


Performing a Blind Transfer

A Blind (or unannounced) Transfer occurs when you transfer a call to someone else without announcing the call first.

To conduct a blind transfer while on an active call, press Options. Proceed to select Blind Transfer. Next, input either an extension or a valid 10-digit number. Press Transfer; the call will now be transferred.


Performing a Consulted Transfer

A Consulted (or announced) Transfer is performed when you announce the call to the recipient before transferring the call.

To conduct a consulted transfer while on an active call, press Options. Proceed to select Transfer. Next, input either an extension or a valid 10-digit number. Press the Call button. Once the party answers, you can announce the call and press the center softkey to complete the transfer. This completes the consulted transfer.


Performing a Direct-to-Voicemail Transfer

A Direct-to-Voicemail Transfer is performed when you wish to transfer a call directly to another User’s Voicemail.

To conduct a Direct-to-Voicemail Transfer to another user within the group while on an active call, press Options. Proceed to select Transfer. The caller is automatically placed on hold. Next, enter Star 55 (*55), followed by the User’s Extension, then press the Transfer button again. This completes the transfer to Voicemail. To transfer a call to a user in a different group, they must dial *55, group ID, then extension.  e.g. *55-1-1793 where 1 is the group ID.


Initiating Three-Way Conference Calls

To initiate a Three-Way Conference Call, press the New Call softkey while on an active call, enter the valid extension or 10-digit number, then press the Call button. Once the party answers, proceed to press Options and locate and select the conference option and press OK on the Conference option. The two calls will now be connected.


Do Not Disturb (DND)

The Do Not Disturb Feature sends all incoming calls to Voicemail. To enable Do Not Disturb, press Menu, then select Do Not Disturb (DND). Your phone is now in DND mode.

Please note: Once Do Not Disturb is enabled, calls cannot be received until you disable the feature. To disable this feature, repeat the previous steps.


Enabling & Disabling Call Forwarding

By default, calls that are not answered will go to Voicemail. To forward calls to a destination other than Voicemail, enable Call Forwarding or change your Voice Portal Busy and No Answer settings.

To enable this feature, press Menu and then select Call Forwarding. Next, select the line you want to set forwarding on and choose the option you would like to enable.

Forwarding options include:

  1. Always, which will forward all incoming calls to a specified forward-to destination.
  2. No Answer, which will forward calls when the Do Not Disturb feature is enabled, or if you do not answer.
  3. Busy, which will only forward calls if your line is busy.

Press the check box to enable the feature.

Please note: When configuring No Answer forwarding, you must also select the number of seconds before the call is forwarded. To configure, select CALL FORWARD, then NO ANSWER. Switch the service to ENABLED and enter the number to which to forward calls. Then, select the number of seconds it would take to forward calls. You can choose from 0 – 120 seconds. Make your selection and select the SAVE softkey when you are done.

To disable Call Forwarding, select the forwarding service to disable. Then uncheck the box to disable.


Parking Calls

While on an active call, press Options and locate and select Call Park to park a call. Next, enter the extension on which you want to park the call. You should hear a prompt that the call has been parked.


Enhanced Call Park

Enhanced Call Park is used to park and retrieve calls between users within the same organization using the line keys on your desk phone.

  1. When receiving an incoming call, press and hold the desired line key, then press the Park Softkey. This will park the call on one of the call park lines. If done correctly, a parked symbol is shown on the line the call was parked.

The call can be retrieved from your phone or any other phone by pressing and holding the associated line key and then pressing the Retrieve softkey.

If the call is not picked up within the configured timeout period, the call will ring back. Press the Answer softkey to retrieve the call park that timed out.

To park calls using Call Attendant:

  1. Go to your phone’s Settings.
  2. Select Call Attendant and enable it.
  3. When receiving an incoming call, press (do not hold) the Park key to park the call on one of the shared lines.


Retrieving Calls

To retrieve a parked call, dial *88 and press the Talk button. When prompted, dial the extension number against which the call was parked followed by the pound (#) key, or simply dial the pound key by itself to retrieve a call parked against the number from which you are calling.


Adding New Contacts

To add a new contact, press Menu. Select Directories followed by Add New Contact. Proceed to fill out the necessary information, using the navigation arrow to move between fields. When complete, press Save. The contact will now be saved.


Setting Up Voicemail

To set up your Voicemail for the first time, press Menu. Select Messages followed by Message Center. Or, you can access your voicemail by dialing your extension and following the prompts.

Enter your default password, followed by the pound (#) sign. The system will ask you to enter your new passcode. Enter your new passcode followed by the pound (#) sign, then confirm your new passcode, once again followed by the pound (#) sign. Accessing Voicemail

To check your Voicemail, dial your extension. You can also press Menu, then select Messages followed by Message Center to access your current messages. When prompted, enter your Voicemail passcode followed by the pound (#) key. Follow the audio prompts to retrieve your Voicemail messages. If you forget your Voicemail passcode, please contact your System Administrator to have it reset.


Accessing Call History

You can use the Navigation Keys to review your Call History.

To see recently placed and received calls, press the right arrow button. To see the Directory menu, press the left
arrow. To dial a number, scroll to the desired number and press the Talk button.
