Introduction

Learn the basics of using your Poly Edge E220/320/350 desk phone. The following topics will help you with common questions related to using your Polycom phone.
Note: The examples and screenshots below are using the Edge E320 model; however, the instructions for performing the tasks are the same across the Edge E220, E320, and E350 model phones.

Phone Overview

Display

The first screen you see when you turn your phone on is the Lines Screen. This shows your phone lines and provides access to your Directory.

Feature Keys

The feature keys are the ones that you will use most often. They include the following:

Home View

Press the Home key to access your messages, directories, settings, and more. You can also use the navigation keys to scroll or the dialpad to access each menu item.

  1. New Call: Places an outgoing call.
  2. Redial: Dial the most recent call.
  3. Messages: Access the Message Center to listen to your voice messages. You can also access your messages by clicking the Message Center button.
  4. Directories: View your Contact Directory, Call Lists, and Favorites.
  5. Recent Calls: This shows you a list of recently made phone calls.
  6. DND: Selecting this key activates Do Not Disturb. Return to the menu to disable DND.
  7. Forward: Enable or disable your phone’s call forwarding settings.
  8. Bluetooth: Enable BlueTooth and add devices.
  9. Wi-Fi: Connect to a WiFi network (Available on the E350).
  10. Help & Support: Initiate a Quick Diagnostic Check, get Help, or get detailed information about your Edge Series Poly Phone.
  11. Settings: Access Basic and Advanced settings, view additional features, or check the phone status.
  12. Calendar: Displays the calendar
  13. Applications: Opens available applications included with your phone.

Note: These menu options are not configured by default or may not be available depending on how your administrator has set the phones up.

Directory

To access the directory:

  1. Press the Home key and select Directories.
  2. Press Contact Directory to view a list of your existing contacts.
    The softkey options allow you to dial or call a selected contact.

The Search softkey enables you to find a contact by First Name, Last Name, Contact, or Job Title.

To add a new contact:

  1. Press the Add Contact Softkey.
  2. Enter the information and press the Save softkey.

You can add a contact from the directory, and by default, it will be added as a speed dial to a line key item. Press the Info soft key to quickly view a contact’s information.

Call Lists organizes your call history into Missed, Received, and Placed Calls.

  1. Select Filter to choose a list.
  2. Clear a list by pressing the Clear softkey.

The Favorites options show your current favorite contacts. To make a contact a favorite:

  1. Choose a contact from the directory.
  2. Select the Edit softkey, and scroll down to Favorites.
  3. Select an index number for the contact. This assigns the contact to a line key. For example, selecting index 1 will assign the contact to the first upper left line key.

Pagination

To access Pagination options:

  1. Press and hold the Ellipses button. Options include:
    Add New Page, Remove Empty Lines, and Make Page 1 as Default.
  2. Select the pagination option you’d like to use. 
    By default, with no pages added, an instructional page appears describing how pagination works when you press it or press and hold.
    Once you add enough line key items on one page, a new page is automatically created where you can choose to delete to add a page later or continue adding contacts. If you have a full page and are ready to add a new one, press and hold the pagination button to add a page.

Bluetooth Pairing

If your system administrator enables Bluetooth on your phone, you can pair your Bluetooth headset and use it to place, answer, and manage calls.

To pair your headset to your Poly Edge E phone:

  1. On the phone, press the Home button.
  2. Select Bluetooth.
  3. Select Manage Devices.
  4. Select Scan.

The phone will search for available BlueTooth devices within range to pair with them. Locate and select the name of the headset to pair with it.

To reconnect a headset that was already paired:

  1. Go to Menu and select Bluetooth.
  2. Select Manage Devices.
  3. Choose your device name from the list of paired devices and press Connect.

Pair a Mobile Phone

You can pair a mobile phone with your Poly Edge E phone using Bluetooth. Depending on your mobile phone’s operating system, you can use Settings or NFC pairing methods.

To pair through Settings on your Poly Edge E phone:

  1. Press the Home button and select Bluetooth.
  2. Press Manage Devices and select Scan.
  3. Locate and choose your mobile device from the list and then select Pair.
  4. If prompted to verify a Bluetooth pairing code, check that the code on your mobile phone and Poly Edge E phone match. If the codes match, select Pair on your Poly Edge phone and select Accept on your mobile phone.

Similar to headsets, you can reconnect your mobile device by going to Bluetooth settings.
To reconnect a mobile phone that was already paired:

  1. On the phone, press the Home button and select Bluetooth.
  2. Press Manage Devices.
  3. Select your device name from the list of paired devices and press Connect.

NFC Pairing

If your Android mobile phone is NFC-capable, you can pair it to your Poly Edge E phone by enabling NFC on your mobile phone.

  1. On your Poly Edge E phone, enable Bluetooth and make it discoverable.
  2. Tap and hold your mobile phone for two seconds to the center of the display of your Poly Edge E phone.
  3. Accept the pairing requests on both phones. Your Poly Edge E phone will display a message that the pairing is complete.

Note: Apple devices don't support Bluetooth pairing with NFC.

8.

WiFi

Note: WiFi is available on the E350 phone. To connect wirelessly to your network:

  1. Press the Menu softkey.
  2. Navigate to Basic Settings.
  3. Click the Wifi option or simply press the number 8.
  4. When the WiFi menu appears, use the right navigation arrow to enable wifi.
  5. Choose Available Networks and press OK.
  6. Locate your network and press the Connect softkey.
  7. When and if prompted, enter the WiFi network password and press the Ok button.
    If successful, a connection success message will appear. If the connection has failed, please make sure you have selected the correct network and supplied the correct password.

Placing Calls

To place a call:

  1. Dial the number.
  2. Pick up the Handset.
  3. Press the Speakerphone or Headset key.

Answering Calls

Depending on your preference, there are multiple ways to answer an incoming call.

  1. To answer a call with your Handset, lift the receiver to connect to the call.
  2. To answer a call via speakerphone, press the Speakerphone button.
  3. To answer a call via the headset feature, press the Headset button.
  4. You can press the Answer softkey to receive the call. When selected, the call is answered using your speakerphone.

To answer an incoming call when you’re already on an active call:

  1. Press the Answer softkey.
  2. Your first call will automatically be placed on hold.
  3. To retrieve your first call, use the navigation arrows to scroll to that call.
  4. Then, press the Resume softkey.

11.

Hold

To put an active call on hold:

  1. Press the Hold button or the Hold softkey.
  2. To resume the call, press the Hold button again or the Resume softkey.
  3. If you have more than one call on hold, using the navigation arrows, select the call you wish to reconnect with and press the Resume softkey.

Note: If you have the music-on-hold option assigned to your profile, calling parties put on hold will hear music while they wait for you to return to the call.

12.

Mute

To place a call on mute while on an active call, press the Mute button. To unmute a caller, press the Mute button again.

Call Transfer

Attended Transfer

A Consulted (or announced) Transfer is performed when you announce the call to the recipient prior to transferring the call.

To conduct a consultative transfer while on an active call:

  1. Press the Transfer softkey or Transfer button.
  2.  Dial the phone number or select a contact from your directory, and then press Send.
  3. Once the receiving party answers the call, announce the transfer, and press the Complete Transfer softkey.

Blind Transfer

A Blind (or unannounced) Transfer takes place when you transfer a call to someone else without announcing the call first.
To conduct a blind transfer while on an active call:

  1. Press the Transfer softkey or Transfer button.
  2. Press the Blind Transfer softkey.
  3.  Dial the phone number or select a contact from your directory and then press Send.

Direct-to-Voicemail Transfer

A Direct-to-Voicemail Transfer is performed when you wish to transfer a call directly to another user’s voicemail.
To conduct a Direct-to-Voicemail Transfer while on an active call:

  1. Press the Transfer button or softkey.
  2. Enter Star (*) 55 on the keypad and then enter the Extension followed by the pound (#) key.
  3. Press Transfer again to complete the voicemail transfer.

14.

Do Not Disturb

The Do Not Disturb feature is used to send all incoming calls directly to Voicemail. To enable Do Not Disturb from the main screen, press the More softkey, followed by the DND softkey.
You can also enable Do Not Disturb by pressing the Home button. Use the Down Navigational arrow to locate the DND icon and press Select. You will see the Do Not Disturb icon by your extension line appearance, indicating that the feature has been enabled. Once Do Not Disturb is enabled, calls cannot be received until you disable the feature. To disable this feature, repeat the previous steps.
Please Note: The Do Not Disturb button may work differently, depending on how your administrator has configured your extension. For instance, in some cases, when you enable DND, it will impact incoming calls not only to your desk phone but also to your other connected devices.

15.

Call Forwarding

By default, calls that are not answered will go to voicemail. To forward calls to a destination other than voicemail, enable call forwarding or change your voice portal busy or no answer setting.

To enable this feature:

  1. Press the Home key.
  2. Navigate to Forward.
  3. Select the type of forwarding option you would like to enable
    1. Call Forwarding Always - forwards every incoming phone call you receive to a specific phone number. Enter the phone number and press the Enable softkey.
    2. Call Forwarding No Answer -  forwards an incoming phone call to a specific phone number if you don’t answer the call. Set the number of rings before the call is forwarded using the Forward after Rings setting.
    3. Call Forwarding Busy -  forwards your incoming phone calls to a specific phone number when you are in a busy state. Enter the phone number, and press the Enable softkey to activate.

16.

Call Park

To park a call while on an active call:

  1. Select Transfer.
  2. Enter Star (*) 68, and enter the extension on which you wish to park the call, followed by the Pound(#) key.

Parked calls can be retrieved from any phone within the office. To retrieve a parked call:

  1. Dial Star (*) 88.
  2. When prompted, dial the extension number on which the call was parked, followed by the  Pound(#) key.

17.

Enhanced Call Park

Enhanced Call Park is used to park and retrieve calls between users within the same organization using the line keys on your desk phone.

  1. While on an active call, press and hold the desired line key for 3 seconds, then press the Park Softkey. This will park the call on one of the call park lines. If done correctly, a parked symbol is shown on the line the call was parked.

The call can be retrieved from your phone or any other phone by pressing and holding the associated line key and then pressing the Retrieve softkey.

If the call is not picked up within the configured timeout period, the call will ring back. Press the Answer softkey to retrieve the call park that timed out.

To park calls using Call Attendant:

  1. Go to your phone’s Settings.
  2. Select Call Attendant and enable it.
  3. When receiving an incoming call, press (do not hold) the Park key to park the call on one of the shared lines.

18.

Voicemail Setup

To set up your voicemail for the first time:

  1. Dial your extension and use your handset to activate the call, or press the Dial softkey to utilize the speakerphone.
  2. Enter your default passcode, followed by the Pound (#)  key.
  3. Enter your new passcode followed by the Pound (#) key and confirm it again.
  4. Record your first and last name, then press the Pound (#) key.
  5. Press 1 to access the voice messaging main menu. You can record your greetings and retrieve voice messages.

19.

Accessing Voicemail

A red Message Waiting Indicator light notifies you when you have a new voicemail message. To check your voicemail:

  1. Dial your extension number.
  2. Press the Dial softkey.
  3. Enter your voicemail passcode followed by the Pound (#) key.
  4. Follow the audio prompts to retrieve your voicemail messages.

Note: If you forget your voicemail passcode, please contact your system administrator to have it reset.

20.

How Do I Add a Contact to My Speed Dial?

You can add a contact to your speed dial through the End User Portal. To do this, follow these steps:

  1. From the End User Portal, click on User Service Settings.
  2. Select Speed Dial 8.

You can add up to 8 Speed Dials to your list. Within the Speed Dial window:
Please Note: In some cases, your End User portal will have a Speed Dial 100 option in addition to Speed Dial 8. Speed Dial 100 enables you to have 100 contacts within your Speed Dial at any given time. For this guide, we are showing you how to add speed dials to the Speed Dial 8 option. However, the process is the same for both.

  1. Enter the Phone Number in the corresponding field in the spot you wish it to appear within the speed dial list.
  2. Repeat this step until you’re complete or have filled out the 8-speed dial spots.

Click Save.

Once you've added a contact to your speed dial list, you can begin using speed dial to reach the contact.
Dial the single-digit prefix assigned to a phone number or extension and press Send.
